Transferring Materials to the Archive

What do we Collect?

The historical archive preserves materials that are created or received by the offices of the College in the conduct of their business as well as materials that provide contextual information about the history of Rowan-Cabarrus and the surrounding community. Archive Services collects only materials that are no longer actively used and deemed to be of permanent value.

The historical archive does not acquire certain types of materials. These include:

  • Education records
  • Personnel records
  • Electronic mail or website archives
  • Handbooks or manuals for equipment
  • Non-Rowan-Cabarrus publications
  • Rare books and rare manuscripts
  • Research materials related to an individual faculty member’s work
  • The history of the surrounding community unrelated to Rowan-Cabarrus Community College
  • Personal correspondence or family papers

Donations

Have something related to Rowan-Cabarrus Community College history that you would like to donate? Contact our Archivist to schedule a visit to appraise your donation.

Community members may transfer materials to the historical archive that falls within the above-established collection parameters. A Deed-of-Gift must be filled out by the donator to be kept on file. This document formally establishes the transfer of ownership and copyright to Rowan-Cabarrus.

Employees should visit our internal site for guidelines on transferring departmental materials to the Archives.

Digital Materials

Many materials are created and maintained in a digital format. These include email, PowerPoint presentations, websites, databases, digital photographs, etc. Archive Services seeks to keep these materials in their original digital form. Donators will be encouraged not to print out these files, but to transfer them as digital files. The College Archivist is available to consult on a plan for the transfer of digital data.  The Information Technologies department handles the archiving and retention of emails and websites associated with the College on an automatic basis; therefore, these resources are not collected by Archive Services.
